What is student voice?
How your feedback becomes change
Java Institute is an educational institution where students are the main focus. Every academic, administrative, and support mechanism is designed to provide the best possible student experience.
Student Voice refers to the formal mechanisms used to capture students’ genuine feedback, ideas, concerns, and suggestions. This may include feedback on how a module is taught, how facilities are managed, how student services operate, and how decisions are made at institutional level.
At JIAT, every piece of student feedback enters a structured process. It does not simply disappear into a form; it is reviewed, discussed, and used to support continuous improvement.

What we promise, in writing
These are specific commitments with timelines, made by name, and reviewed every academic year.
JIAT Student Voice Commitment
Every issue raised through a Course Representative will receive a written institutional response within ten (10) working days of the relevant Staff–Student Meeting.
An Annual Student Voice Report will be prepared and submitted to the awarding body, clearly setting out the key matters raised by students, the actions taken by the institution, the changes implemented, and the matters that remain in progress.
Student Representatives will also be given the opportunity to represent student concerns at Java Institute Management Review Meetings. These concerns will be formally recorded in the meeting minutes and submitted for review by the relevant academic body.
All approved actions and changes arising from the Student Voice process will be communicated and published to students through appropriate institutional channels.

The Role of Student Representatives
What Your Representatives Are Responsible For
JIAT appoints two student representatives for each cohort. These representatives are selected through a democratic voting process and are responsible for representing the views of students within their cohort.

- Collect feedback from students within their cohort.
- Raise student concerns during staff–student meetings.
- Communicate institutional responses back to students.
- Support student engagement in academic and institutional matters.
- Refer unresolved or serious matters to senior academic staff or the Student Voice Committee.
- Represent student views in relevant academic quality assurance discussions.
Election process
How Student Representatives Are Elected
Students in each cohort are first divided into groups of eight, where possible based on student choice.
Each group elects one Group Leader through a voting process. These Group Leaders are responsible for collecting and communicating the views of their group.
Once the Group Leaders have been elected, the full cohort votes from among the Group Leaders to select two Student Representatives for the cohort.
This process ensures that student views are represented from group level through to cohort level and that representatives are selected fairly and democratically.

What JIAT Guarantees to Every Representative
JIAT is committed to protecting and supporting the student representative system.
Every issue raised formally by a student representative will receive a written institutional response within ten working days of the relevant staff–student meeting.
No student representative will face any academic or administrative disadvantage as a result of raising genuine concerns on behalf of their cohort.
Student representatives will be given appropriate opportunities to present student feedback to academic and administrative staff through the formal Student Voice process.

There are multiple ways to have your say at JIAT. Choose the channel that works best for you — every submission is reviewed and responded to.
Feedback channels
How you can share your views
JIAT does not rely on a single feedback channel. Multiple routes exist so that every student can participate in a way that suits them.
Module evaluations
A structured survey run at the end of every module. Questions cover teaching quality, learning materials, assessment clarity, and support. Results are reviewed by the module leader and shared with students within four weeks.
Annual student survey
A full programme-level survey run once per academic year covering teaching quality, learning resources, assessment and feedback, student support, and facilities. Results feed directly into the Annual Student Voice Report.
Pulse checks
Short three-question surveys sent at the mid-point of each semester. These allow JIAT to respond to emerging issues within the current academic year, rather than waiting for annual results.
Speak to your rep
Your elected course representative collects feedback on your behalf and brings it formally to staff-student meetings. This is the most direct route to having a specific issue discussed and resolved.

Student voice — Governance
Governance and representation
Student voice at JIAT is not informal. It is embedded in the formal governance structure of the institution — with students present at every decision-making level.
Student voice committee
The committee that drives change
The Student Voice Committee meets once per semester. It is the primary formal body through which student feedback is reviewed, acted upon, and escalated to the Academic Board.
Student Voice - Closing the loop
A final summary report, including student feedback, actions taken, policy changes, and implementation progress, will be submitted to BCU at the cohort finalisation meeting to close the loop.
Student Voice at Management Review Meeting
These findings will then be reviewed at the biannual Management Review Meeting. Based on the outcomes, necessary policy changes, improvements, and implementations will be carried out. In addition, a time slot will also be allocated to the Student Representatives at the Management Review Meeting.
Student Voice at Staff–Student Meeings
Academic officers and Student Representatives will meet once per semester at programme level, and the meeting will be formally minuted. The problems, findings, and feedback identified at these meetings will be brought to the internal review meeting, which is held every two months, for immediate action.

Additional tutorials
Students who need additional teaching support for a specific module can request additional tutorial sessions. Requests are reviewed within three working days and arranged where capacity allows.
Welfare and counselling
Mental health and personal support
JIAT takes student mental health seriously. If you are struggling, you do not need to manage it alone. The following services are available to all enrolled students.
Student welfare officer
JIAT's welfare officer is available for confidential conversations about personal, financial, or health-related difficulties. Appointments are available in person or via video call.
Counselling referral
JIAT can refer students to external counselling services where needed. Referrals are made through the welfare officer and are treated with full confidentiality.
Report and support
How to report bullying, harassment, or discrimination
JIAT has zero tolerance for bullying, harassment, and discrimination. If you have experienced or witnessed unacceptable behaviour, you can report it using the options below.
Report anonymously
Submit a report without giving your name using the anonymous form on the Give Feedback page. Reviewed by the Academic Quality Coordinator within five working days.
Report with your name
Contact the welfare officer directly at [email protected] or in person. Named reports allow JIAT to follow up with you directly and take formal action where appropriate.
Complaints and appeals
If something has gone wrong
JIAT has a formal complaints procedure and a separate academic appeals procedure. Both procedures are aligned with the relevant institutional and awarding body requirements.
Informal resolution
In the first instance, you should raise your concern informally with the relevant module leader or lecturer. Many issues can be resolved quickly at this stage without initiating a formal process.
Formal Complaint or Academic Appeal
If informal resolution is not possible or appropriate, you may submit a formal complaint or academic appeal using the relevant forms available on the Governance page. Submissions will be acknowledged within seven working days.
Investigation and Response
All formal complaints and academic appeals will be investigated by a member of JIAT senior management who was not involved in the original issue. A written outcome will be provided within twenty working days.
Escalation to the Relevant Academic Body
If you are not satisfied with JIAT’s response, you may have the right to escalate your complaint or appeal to the relevant academic body, awarding body, or external authority, where applicable.
Escalation to a Government or Regulatory Authority
Where applicable, this may include submitting a complaint to the TVEC or another relevant government or regulatory authority in Sri Lanka, in accordance with its applicable procedures.

An inclusive environment for every student
